Effective date: June 13, 2026
The short version. HaulProof is a software tool that helps owner-operators audit their settlements and track their numbers. It is not a lawyer, not an accountant, and not a promise that you'll recover money — it does your math and builds your paperwork; you decide what to send and to whom. The plain-English notes in boxes like this one are here to help you follow along, but the full text of each section is what's binding.
1. Who we are and what this covers
These Terms of Service (the "Terms") are a legal agreement between you and HaulProof, LLC ("HaulProof," "we," "us," or "our"), a New Jersey limited liability company. They govern your use of the HaulProof website at haulproofhq.com and the HaulProof web application, together with everything we offer through them (the "Service").
By creating an account, starting a trial, or otherwise using the Service, you agree to these Terms and to our Privacy Policy and Refund Policy, which are part of this agreement. If you do not agree, please don't use the Service.
2. What HaulProof is — and isn't
HaulProof is self-help software. It reads the settlement and load information you give it, runs calculations, flags amounts you may be owed, tracks your income and expenses, and generates documents such as profit-and-loss reports and dispute letters.
HaulProof is not a law firm, an accounting firm, a tax advisor, or a financial advisor, and nothing in the Service is legal, tax, accounting, or financial advice. We do not represent you, and using HaulProof does not create an attorney-client, accountant-client, or fiduciary relationship.
HaulProof does not guarantee that you will recover any money, win any dispute, or reach any particular financial outcome. Whether a broker, carrier, or anyone else pays you is between you and them. HaulProof's job is to organize your numbers and put a documented case in your hands — what you do with it, and the result, is up to you. The accuracy of what HaulProof produces depends on the accuracy of what you put in.
3. Who can use it
You must be at least 18 years old and able to form a binding contract to use the Service. If you use HaulProof on behalf of a business, you represent that you're authorized to accept these Terms for that business.
4. Your account
You're responsible for the information you provide and for keeping your login credentials secure. Everything that happens under your account is your responsibility, so don't share your password and let us know promptly at support@haulproofhq.com if you think someone else has gotten in. Please keep your account details accurate and up to date.
5. Acceptable use
When you use HaulProof, you agree not to:
- Break any law or use the Service for anything illegal;
- Upload data you don't have the right to use, or someone else's personal or financial information without their permission;
- Try to break, overload, reverse-engineer, scrape, or get unauthorized access to the Service or its underlying systems;
- Resell, sublicense, or repackage the Service without our written permission; or
- Use the Service to harass anyone or to send anything false, threatening, or abusive.
6. Your data and content
The settlements, expenses, receipts, truck details, and other information you put into HaulProof are yours. You keep ownership of it. You grant us a limited license to store and process it only as needed to run the Service for you — read your settlements, run your audit, build your reports, and keep your account working. We handle it as described in our Privacy Policy. We don't sell your data, and we don't share it except with the service providers that help us operate, or where the law requires it.
7. The free demo, the trial, and billing
Free demo. The calculators on haulproofhq.com are free to use, with no account required.
Free trial. New subscriptions start with a 30-day free trial. We ask for a payment method up front so there's no gap in your service when the trial ends. We'll email you a heads-up before your first charge. You can cancel anytime during the trial in your account settings and you won't be charged.
Plans and prices. HaulProof is a single plan with everything included — no tiers or upsells. It is $19 per month for the founding 100 drivers (locked in for life), $24.99 per month after that, or $190 per year. Current pricing is shown on our pricing page. We may change prices, but we'll give you notice before a change affects you, and any change applies to your next billing period — never retroactively.
Auto-renewal. When your trial ends, and at the start of each billing period after that, your subscription automatically renews and your payment method is charged the then-current price until you cancel. By starting a paid subscription, you authorize these recurring charges.
Cancel anytime. You can cancel in one click in your account settings. When you cancel, you keep access through the end of the period you've already paid for, and you won't be billed again.
Payments. Payments are processed by Stripe. We don't see or store your full card number. Prices are in U.S. dollars and don't include any taxes that may apply, which are your responsibility.
8. Refunds
Your first paid month is covered by a 30-day money-back guarantee. After that, subscription fees are non-refundable, but you can always cancel to stop future charges. The full details are on our Refund Policy page, which is part of these Terms.
9. The Service is provided "as is"
We work hard to make HaulProof accurate and dependable, but the Service is provided "as is" and "as available," without warranties of any kind, whether express or implied, including any implied warranties of merchantability, fitness for a particular purpose, or non-infringement. We don't warrant that the Service will be uninterrupted, error-free, or that every flag, calculation, or document it produces will be complete or correct — its output is informational and depends on the information you provide. You are responsible for reviewing everything before you rely on it or send it to anyone.
10. Limitation of liability
To the fullest extent allowed by law, HaulProof and its owners will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any lost profits, lost revenue, lost money you hoped to recover, or lost data, arising out of or related to your use of the Service — even if we've been advised such damages were possible. To the fullest extent allowed by law, our total liability for any claim relating to the Service will not exceed the greater of the amount you paid us in the 12 months before the claim, or $100. Some states don't allow certain limitations, so parts of this section may not apply to you.
11. Indemnification
You agree to defend, indemnify, and hold harmless HaulProof, LLC and its owners from any claims, losses, or expenses (including reasonable attorneys' fees) arising out of your misuse of the Service, your violation of these Terms, or your violation of anyone else's rights.
12. Third parties
HaulProof relies on third-party providers (such as Stripe for payments and other vendors listed in our Privacy Policy) to operate. We're not responsible for those third parties' services, and we're not responsible for the brokers, carriers, factoring companies, or anyone else you deal with using information from HaulProof.
13. Suspension and termination
You can stop using HaulProof and close your account at any time. We may suspend or terminate your access if you violate these Terms or use the Service in a way that could harm us or others. If we terminate your account for a reason that isn't your fault, we'll refund any prepaid fees for the period you weren't able to use.
14. Changes to the Service and these Terms
We may update the Service and these Terms from time to time. If we make a material change to the Terms, we'll post the new version here with an updated effective date and, where appropriate, let you know. Continuing to use the Service after a change means you accept the updated Terms.
15. Governing law
These Terms are governed by the laws of the State of New Jersey, without regard to its conflict-of-laws rules. Before filing anything formal, we ask that you first contact us at support@haulproofhq.com so we can try to work it out. Any dispute that can't be resolved that way will be handled by the state or federal courts located in New Jersey, and you and HaulProof agree to that venue.
