The short version. We collect what we need to run HaulProof for you and nothing we don't. We never sell your data. Your settlement numbers are walled off to your account — nobody else gets in. The companies we rely on to operate (hosting, payments, email, AI extraction) only ever touch your data to do their one job. You can see, fix, or delete your information anytime.
This Privacy Policy explains how HaulProof, LLC ("HaulProof," "we," "us," or "our"), a New Jersey limited liability company, collects, uses, and protects information when you use the HaulProof website at haulproofhq.com and the HaulProof web application (the "Service").
Information we collect
Information you give us directly.
- Account information — your name, email address, and password (stored in a secure, hashed form by our authentication provider, never in plain text).
- Business and truck details — things like your carrier name, MC and USDOT numbers, and your truck and trailer information, when you choose to enter them.
- Settlement and financial data — the settlements, loads, deductions, expenses, and receipts you upload or enter. This is the sensitive financial data at the heart of the Service, and we treat it that way.
- Payment information — handled by our payment processor (Stripe). We don't see or store your full card number.
- Anything you send us — for example, when you email support.
Information collected automatically. Like most websites, we collect basic technical and usage data — browser type, device, pages viewed, and approximate location — through analytics, in aggregate. We use this to keep the site working and to understand what's useful.
How we use your information
- To provide the Service — read your settlements, run your audit, track your expenses, and build your reports;
- To create and secure your account and process your subscription and payments;
- To send you account and transactional messages (like password resets, trial reminders, and receipts);
- To respond to your questions and provide support;
- To maintain, troubleshoot, and improve the Service; and
- To meet our legal obligations.
How we share information
We do not sell your personal information, and we never have. We share data only in these limited ways:
- With service providers who help us run HaulProof, each only to do its specific job (see the list below);
- To comply with the law or a valid legal request, or to protect the rights, safety, and property of you, us, or others; and
- In a business transfer — if HaulProof is ever involved in a merger, acquisition, or sale of assets, your information may transfer as part of that, and we'll let you know.
Our service providers (sub-processors):
- Supabase — database, account authentication, and encrypted file storage;
- Stripe — payment processing (PCI-compliant; we never see or store full card numbers);
- Anthropic (Claude) — reads and extracts the data from the settlements you upload, through its commercial API. Data sent through that API is not used to train its AI models;
- Resend — delivers our account and transactional emails;
- Vercel — hosts the website and application;
- Google Analytics — aggregate, anonymized usage analytics.
How your data is stored and secured
Your data lives in private, encrypted storage and is walled off to your account. Access is restricted, and your settlement data is yours alone — see the next section on who can view it. No system is ever perfectly secure, but we take reasonable, industry-standard measures to protect your information, and we work only with reputable providers who do the same.
Who can see your numbers
Just you. By default, nobody else can get into your account or view your settlement data. You can add a partner seat that gives a spouse or bookkeeper their own login to your books — but only if you invite them. We don't browse your financial data, and we don't hand it to anyone.
How long we keep your data
We keep your information while your account is active, and for a reasonable period after you cancel — so that if tax season rolls around and you need last year's numbers, they're still there. We'll warn you well before anything is permanently deleted. You can also ask us to delete your data sooner (see below). We may retain limited records longer where the law requires it.
Your rights and choices
You can access, correct, or update most of your information right in your account settings. You can also email us at support@haulproofhq.com to request a copy of your data or ask us to delete it. Depending on where you live (for example, California and certain other states), you may have additional rights over your personal information — we honor those requests; just reach out.
Cookies
We use cookies and similar technologies to keep you logged in, remember your preferences, and run analytics. You can control cookies through your browser settings, though turning some off may affect how the Service works.
Children's privacy
HaulProof is a business tool intended for adults. It is not directed at anyone under 18, and we don't knowingly collect information from children.
Changes to this policy
If we make a material change to this policy, we'll post the updated version here with a new effective date and, where appropriate, let you know.
